Updated: Dec 26, 2023

We've all been there - you invest in a beautiful, well-designed planner, convinced that it will be the magical tool to boost your productivity. You diligently jot down tasks, schedule appointments, and set goals, only to find yourself wondering, "I have a planner. Why am I not productive?" If this scenario sounds familiar, you're not alone.

Let me unravel the mystery behind being super productive and share some tips to transform your planner into the tool that works wonders for your life!

Planner Personalities & Choosing Your Planner

In the world of planners and organizers, the concept of "Planner Personalities" is a game-changer. It's not just about choosing a planner; it's about finding one that resonates with your unique needs and preferences. But what exactly are Planner Personalities, and why did I develop them?

Planner Personalities are distinct planning styles, each characterized by a set of preferences, habits, and priorities. These personalities help individuals identify the planner features and layouts that align with their specific needs. Think of them as a blueprint for personalized planning.

The Four Planner Personalities:

  1. The Task Master: Task Masters thrive on structure and organization. They love to-do lists, deadlines, and well-ordered lives. Their planners are their command centers, ensuring nothing slips through the cracks.

  2. The Achiever: Achievers are goal-driven and motivated by progress. They appreciate structure but enjoy flexibility to adapt. Their planners help them track their journey and celebrate milestones.

  3. The Keeper: Keepers value order, sentiment and simplicity. They prefer when everything has its place and when there's room for them to record their memories, thoughts, and dreams. Their planners reflect what they value and focuses on essentials.

  4. The Low-key Coordinator: Low-key Coordinators embrace a relaxed approach to planning. They don't need rigid schedules and relish spontaneity. Their planners add a touch of order -but not too much - to their easy-going lives.

Why I Developed Planner Personalities

As the founder of KnoxBeaux, I developed Planner Personalities because I recognized a significant gap in the planner market. Many individuals purchased planners only to find that they didn't align with their planning habits and lifestyles. This often led to frustration, underutilized planners, and a sense of wasted resources.

Planner Personalities emerged as a solution to this problem. They serve as a guide, helping individuals pinpoint their unique planning style and find planners and layouts that cater to them. It's about making planning a seamless, enjoyable experience that genuinely enhances productivity and organization.

In essence, Planner Personalities are about helping you take charge of your planning journey. They are the compass that guides you toward the planner that fits not just your schedule but your life.

What Do You Want to Get Out of Your Planner Experience?

Having clear goals, objectives, and priorities guide how you will use your planner.

The last planner I bought, I remember sitting with it wondering what to write in it and how I would use it to keep myself organized. I didn't have a plan and when you don't have a plan your process may go 1 of 2 ways.

  1. Having no direction, you break out the planner so sparingly that you become disappointed or ashamed that you haven't been using it effectively. This leads you to break it out less and less until you find it on a shelf collecting dust or becoming a pretty - sometimes expensive - paperweight; or

  2. You pack it with a jumbled collection of tasks and events, leaving you feeling overwhelmed and disorganized.

When you define your goals and objectives, you create a roadmap for your planner. Each page becomes a steppingstone toward your aspirations, making your planner a powerful tool for progress.

For example, if your priority is achieving career milestones, your planner may include detailed project management sections and space for skill development tracking. On the other hand, if family and personal well-being top your list, you might focus on meal planning, self-care routines, and family schedules.

Your goals, objectives, and priorities partnered with your Planner Personality ensures that your tool is custom-tailored to your unique life, making it not just effective but also a pleasure to use.

Get Into The Habit!

Creating a planner routine is the key to unlocking consistency and reaping the full benefits of your organizational tool. When you start from your Planner Personality, you'll be able to designate an appropriate time or frequency for planner maintenance. This could be a morning ritual to plan your day (Task Master) or a Sunday evening session to prepare for the week ahead (Achiever) or a nightly ritual to journal your thoughts and feelings (Keeper).

During this dedicated time, review your goals, objectives, and priorities. Identify the most important tasks and events, and slot them into your planner. Take a moment to reflect on your progress and celebrate your achievements, no matter how small.

Use this dedicated time to do what makes sense for you and your planning style. Consistency thrives on habit, so make planner upkeep a regular part of your daily or weekly routine.

Lastly, keep your planner within arm's reach, whether in your bag, on your desk, or by your bedside. This simple accessibility encourages frequent use and reinforces the habit of staying organized. With these steps, a planner routine becomes second nature, enhancing your productivity and bringing order to your life.

Don't Forget to Reflect!

One part of my planner journey I have adopted is reflection. Before I prep my planner design for the next year, I look over the year and take note of what worked, what didn't, and what I was missing.

I also reflect after major events or projects, at the end of the month, and at the end of each quarter.

Incorporating planner reviews into your year is a strategic move that ensures your planner remains a powerful tool in your life. These periodic assessments provide a chance to reflect on your changing needs, assess how well your current planner is working for you, and make necessary adjustments.

During these sessions, take a deep dive into your planner's effectiveness. Evaluate whether your goals and priorities have shifted and if your current planner layout accommodates these changes. Assess if there are unused or underutilized sections or pages that could be tailored to better suit your evolving requirements.

Furthermore, planner reviews offer a precious opportunity to declutter and refresh your planning system. Identify outdated or irrelevant information, clean up your notes, and streamline your planner for improved efficiency. These reviews also allow you to celebrate your accomplishments and acknowledge areas where you've made progress. It's a moment to pat yourself on the back, stay motivated, and realign your planner to align with your ever-evolving aspirations.

By incorporating planner reviews into your routine, you'll ensure that your planner remains a dynamic and indispensable companion on your journey to organization, productivity, and goal achievement.
